You should read all of the following before starting. Perhaps open the Directory spreadsheet and place it alongside this text on your screen.

 

First, here’s is a list of what you can do with the people directory or the template spreadsheet.

 

  • You CAN change the order of columns but it’s better if you don’t.
  • You CAN hide columns but it’s better if you don’t.
  • You CAN delete certain columns.
  • You CAN add or insert your own columns, but these columns will not get imported and they

won’t be there when next you export the people directory.

  • You CAN add whatever details you want to the ‘Custom’ columns. They will get imported and they will be there the next time you export the people directory.

 

Second, here’s a list of what must be in the people directory:

 

  • First name (Column A).
  • Surname (Column B).
  • Email (Column D). The user’s email address must be unique. You cannot have two email ad- dresses the same. So, search for duplicates and remove them.
  • Provide the user’s unique employee number (Column C) if you can’t provide a unique email address. Employee or personnel numbers can never be the same for two users. Search for duplicates and remove them. This is important.
    1. NOTE 1:

You may, if you wish, provide both a unique email address and a unique employee number for each user, but you don’t have to. It is one or the other, or both, but each must be unique. Search for duplicates and remove them.

  1. NOTE 2:

If you cannot provide either a unique email address or a unique employee number, then you must leave the fields blank and ensure that the import option ‘Generate Personnel-IDs?’ is set to ON.

  • Associated Mobile Number 1 (Column T). See footnote1. This is the contract or subscriber number. The associated contract number might be the 3G SIM card number, which might be different from the user’s contact cell phone number.

Without the above, your entries in the people directory will not be uploaded

 

Third, here’s what you can’t do with the people directory:

 

û    You CANNOT delete or rename any of the column headers. Don’t delete “Row 1”!

û    You CANNOT leave any key fields blank: Columns A, B, C, and D must have data filled in.1

û    You CANNOT have duplicate employee numbers.

û    You CANNOT have duplicate email addresses. Search for duplicates and remove them.


 

Here are some notes about the other columns:

 

IMPORTANT: Be aware of the difference between a Contact numberand a Contract numberThey’re not always the same.

 

Mobile Contact Number (Column E) and Office Contact Number (Column F) are voice telephone numbers and may have very little to do with the user’s mobile contract or subscriber number (Column T). These two fields are simply notes so that, for example, administrators will know how to get hold of the user in question.

 

Business Area 1 to 4 (Columns G to J). Business areas or groups may already exist. his means that you should exercise caution when making use of the people directory to create new business areas or groups. See ‘How to import the people directory’ for more information.

 

Direct Line Manager details (Columns K to M) are entered here.

  • First, in order for users to be linked to a particular line manager, the line manager must al- ready exist as a user. If the line manager does not already exist in the people directory it can be on the current directory that will be imported, and the user will be associated to the line manager upon completion of the import.
  • Second, when adding direct line managers only employee number or email address (Columns L and M) can be used to assign the line manager to the user. Using their full name (Column K) does not assign users to the line managers.
  • It stands to reason that if the line manager’s employee number is used, it must match the employee number in Column C for the line manager, and if the line manager’s email address is used, it must match the email address in Column D for the line manager.

 

Custom Fields 1 to 5 (Columns N to R). These fields are for information use. If you have sufficient rights and privileges, you can edit the names of these custom information fields in product settings.

 

Mobility Profile (Column S). A mobility profile is basically a customized collection of similar voice and/or data packages. For example, the company’s managers probably wouldn’t belong to the same mobility profile as, the subscriber . You need to create more than one mobility profile for your company. This is a very powerful re- porting tool because you can group together and report on those users who have similar voice and data pack- ages irrespective of their business areas or packages. You can create as many Mobility Profiles as you wish.
